Nordic HR Coordinator


We are looking for a talented and driven Nordic HR Coordinator with a strong administrative mindset and a passion for HR coordination and operations.

So are you an excellent coordinator with an eye for the detail, and will you enjoy working in a professional environment in a small regional team, then you might be the one we are looking for. In this newly created role, you will be supporting the HR operations agenda for our entities in Norway, Sweden, Finland and Denmark.

Your role:

As our new HR Coordinator, your primary focus will be to ensure efficient, on time and correct employee administration and coordination, incl. payroll coordination towards local external payroll providers, for all internal employees of TCR Nordics, in accordance with local legislation and company agreements. You will actively assist in Nordic and international HR projects, and you will be introducing these projects within the regional and local organizations. In addition, you will be the regional key point of contact for all training and HRIS related queries.

Reporting to the Nordic HR Manager, based in Kastrup, Copenhagen, and working out of either Copenhagen, Oslo, Stockholm or Helsinki, your key success criteria will be to support our Nordic HR manager as well as our managers in the various Nordic countries. The main task for you will be to work closely with the Nordic HR Manager on supporting our business alongside our employees, prioritizing the coordination and administration of the employee agenda for the Nordics. You will proactively drive the administration and coordination of all HR related activities and priorities in the region, making sure that local and regional employee administration needs are met as well as overall Nordic HR operation is running smoothly and to the satisfaction of both employees and managers. 

Therefore, both your teamwork and your organizing skills and your ability to work independently will truly come into play in this role. Your proactive skills will be helpful for you when ensuring that plans turning into reality. Thus, you are not afraid to be a project lead when implementing new systems or when supporting the execution of Group or regional HR projects or campaigns. As you have an eye for the detail, this will come in handy for you when you will be supporting managers, HR Manager and Group HR with relevant people data. An important part of your role will be to keep updated on the people administration side of things in combination with you updating all employee-related records in our system(s).

Your skills and competences:

You thrive in an environment, where you work with several tasks at the same time, while keeping  more than an eye on the detail. This is why your strong administrative skills will be necessary in this position. Your previous experience with administration and coordination will be useful for you when handling requests from employees as well as managers in the region. You have a passion for process optimization and your basic HR legal competencies will be of high value in this position. You are data driven, and feel comfortable working in Excel when supporting the organization with relevant data. Equally important, you enjoy defining and driving processes like eg. GDPR standard-setting and Learning Management Systems (LMS) roll-out and maintenance.  Most importantly, you are service-oriented and enjoy helping others – you see your colleagues as your customers, and you enjoy the unpredictability in your everyday work.

Expecting you to navigate effortlessly in a truly Nordic role, some of the requirements and dimensions of the job are that you will

  • deliver people services such as onboarding, off-boarding, employment contracts, reporting, benefit administration and other HR ad hoc tasks
  • Participate in in ensuring correct administration of the complete employment cycle, incl. continuous updating of our regional HRIS tool.
  • Ensure day-to-day follow up on time and absence management systems, incl. individual staff absence tracking and reporting to HR Manager.
  • Be support for our internal customers (candidates, employees, managers and HR Manager) to answer questions or requests related to policies, data, processes or other HR related questions and requests
  • Support HR Manager in the use of our systems and the delivery of our services, including for example, you being key point of contact/regional superuser of LMS system use, content creation, administration and user support.
  • Maintain employee master data and keep a focus on data quality
  • Support the standardization of our processes by providing input and acting on how we can improve the delivery of our services
  • Support our group HR process owners on the implementation and operation of group processes
  • Assist in the recruitment and selection process, drafting job descriptions, sourcing candidates, screening CVs etc.

To be successful in the position, we imagine that you have a relevant administrative background and proven experience with HR administration and coordination, incl. payroll coordination, ideally from Nordic and/or international companies, maybe even from a blue-collar environment.

Also, you should definitely see a good match between your profile and our below expectations to your skills, competences and traits, where you

  • are eager to further develop in HR.
  • have a good knowledge of social legislation in one or more of the Nordic countries.
  • have good oral and written communication skills in English and one or more of the Nordic languages.
  • are able to handle confidential information.
  • have good analytical skills, are excellent with numbers and have an eye for details.
  • are result-driven, proactive and have a dynamic personality as well as an operational approach.
  • thrive with working independently within a small team setup.
  • probably, but not necessarily, have knowledge of Protime, alternatively the use of other time, attendance and absence management systems.
  • are an experienced IT user, incl. HRIS systems.
  • have the ability and willingness to adapt to changes and new situations.
  • have a positive, service-minded can-do attitude, but also the courage to challenge others’ ideas.
  • are committed, structured and understand the need for prioritization in order to ensure that we do what matters the most.
